Dictionary Downloads

You are strongly advised to keep the dictionaries in Recorder 6 updated to the most recent version: 0000001N.zip. To run the upgrades:

Download the dictionary upgrade kit

The Upgrade Kit was last updated in November 2011 to Recorder 6 Dictionary Upgrade Kit version 4. If you are using a previous version then it is advised that you download and unzip the latest files to your hard drive. Changes in the latest version include:

  • checking that the login has 'sa' privileges before letting you past the login screen.
  • checking that the zip files applied are in sequence, not just .sql files.
  • ensures that all upgrade .zip files included in a batch are correctly applied, not just the first one.

Note that the Upgrade Kit was brought in line with the internationalisation of version 6.10 in the release of version 3. Users at version 6.10 onwards therefore need to use 'Dictionary Upgrade Kit V3' or higher to update their dictionaries.

Download each upgrade file

  • Download each file required by clicking on the filename below.
  • Save each file to a temporary location on your computer not \Dictionary Upgrade Kit\Scripts.
  • Unzip each file (which you intend to run) to the Scripts folder. See information below for running upgrades in batches.

Important information:

  • Make sure that the outer zip is not included in the scripts folder otherwise the upgrade will not work. When running the K, L, and M upgrades, for example, the Scripts folder should contain 0000000K.sql, 0000000L.ini, 0000000L.zip, 0000000M.ini, 0000000M.zip and, ReadMe.txt. It should not contain the files you download: Rec6Dict_0000000K_UnzipMe.zip, Rec6Dict_0000000L_UnzipMe.zip and Rec6Dict_0000000M_UnzipMe.zip. If it contains these Rec6Dict files the upgrade won’t run correctly. Note that the help on upgrading the dictionaries in Recorder 6 is out of date on this issue and that this webpage is the most up-to-date advice on this).
  • The unzipped files will either have a .sql  or a .zip file extension and will have a filename of 8 characters (eg 0000000H.zip or 0000000G.sql).  From 0000000L onwards the .zip upgrades are accompanied by an .ini file which simply provides a progress bar for the zip file.  Do not rename any of the files and do not unzip any files twice (ie retain any zipped files that have an 8 character filename as zipped files - 0000000H.zip).
  • Once you have downloaded the outstanding files needed you are ready to run the upgrade.

PLEASE NOTE that to install dictionary upgrades 0000000J.sql and above you must have upgraded to version 6.14.4.

Run the upgrade

Double click on the DictionaryUpgrade.exe file and use either trusted connection (windows authentication) or an appropriate SQL Server login to proceed. With a default instance of MSDE installed by Recorder 6 you can use the 'sa' login with the password left blank. Note: if you are using SQL Server 2005 or SQL Express with Recorder 6, you need to use the trusted connection option to update your database.

Rebuild indexes

Once the upgrade has completed go to Tools - Database Tools in Recorder 6 and rebuild the taxon group, taxon name, taxon synonym and taxon designation indexes. Note that rebuilding the taxon designation index must be done last as it uses the other indexes. Depending on the power of your computer(s) and the speed of your network, where applicable, each rebuild may take 20 minutes to run. On slower systems they may take somewhat longer.

Upgrades since V6.18

Upgrade file Size Date Description
0000001O,1P,1Q.zip 5.9mb 19/02/2013 This file contains 3 dictionary upgrades which should be run together.  It is recommended that you have already upgraded to Dictionary 0000001N before downloading and installing these upgrades. The upgrades implement the work of the Natural History Museum up to 15 January 2013.   PLEASE NOTE that to install these upgrades you must have upgraded to version 6.18.1
00000015to1N.zip 33.8mb 08/02/2013 This file contains 19 dictionary upgrades which should be run together.  These upgrades populate the new Organism table and do not make any other changes to the dictionary.  This is a large upgrade and will possibly take a few hours to run.  As always, the four index tables will need to be rebuilt after running the upgrade. PLEASE NOTE that to install dictionary upgrades 00000015 and above you must have upgraded to version 6.18.1

Upgrades since V6.17

Upgrade file Size Date Description
00000011,12,13,14.zip 6MB 05/12/2012 This file contains four dictionary upgrades which should be run together. These upgrades implement the work of the Natural History Museum over the last few months. There are no new taxon lists, but a number of new species have been added and further improvements have been made to NameServer.  A taxonomic hierarchy has also been added to the List of Additional Names which will considerably reduce the time taken to open this list.  As always, the four index tables will need to be rebuilt after running the upgrade.
0000000Z,10.zip 6.75MB 09/07/2012 This file contains two dictionary upgrades which should be run together. These upgrades implement the work of the Natural History Museum over the last year in reviewing and updating the data. There are no new taxon lists, but over 2000 new species have been added to the existing lists. As always, the four index tables will need to be rebuilt after running the upgrade.

Upgrades since V6.16

Upgrade file Size Date Description
0000000Y.zip 13KB 07/03/2011 This adds updated data into taxon_designation_set_item. This upgrade should be unzipped as usual but do not move the ReadMe file into the scripts folder, only 0000000Y.zip.

Upgrade file Size Date Description
0000000X.zip 1KB 07/03/2011

This includes a few minor updates and removes all system supplied data from taxon_designation_set_item, ready for replacement data in upgrade 0000000Y.

It also updates the Setting table, effectively removing the list key 'NBNSYS0000000112' for 'Rare marine benthic flora and fauna in Great Britain' as this list is included in the JNCC Collation list. Therefore if anyone has added any taxon list keys to this field then they will be removed by this upgrade. You must therefore replace user-added keys if required, after the upgrade has been run.

Upgrade file Size Date Description
0000000U,V,W.zip 2.3MB 08/02/2011 This files contains three dictionary upgrades which can all be run together. 'U' updates the species designation information and the Environment Agency list. There are some additions to the 'List of Additional Names' and the NameServer has been updated. 'V' tidies up the taxon_designation and taxon_designation_type tables to remove superseded or redundant designation information. 'W' addressed three identified issues in the dictionary - the position of water vole in the taxonomic hierachy, the speed of taxonomic searches and the reporting issues around 'preferred common name'.

Upgrades since V6.15

Upgrade file Size Date Description
0000000T.zip 1K 21/09/2010 This updates three taxon list items and removes the comma from the taxon designation set 'statuses of nationally: rare, notable, scarce' (as requested due to reporting problems).
0000000S.zip 137K 21/09/2010

This updates the 'Wildlife and Countryside Act (Schedule 9)' list and adds requested taxon list items to various lists.

Upgrade file Size Date Description
0000000R.zip 871K 10/09/2010

This upgrade adds the lists 'British Soldierflies' and 'List of aphids recorded at Rothamstead'. It also adds requested taxon list items to lists 'ACARI', 'SYMPHYTA' and the 'List of Additional Names'.

Upgrade file Size Date Description
0000000Q.zip 340K 20/08/2010

This upgrade is an exact duplicate of upgrade 'O' and correct issues in installations which have been created directly from the original disks for 6.14.5. Databases installed from these disks were missing upgrade 'O'. As always, please remember to rebuild the indexes after upgrading.

Note: All users must run this upgrade but those who did not install from the faulty disks will get the message 'Recorder upgrade complete. No database updates were required' and do not need to rebuild the indexes.

Upgrades since V6.14

Upgrade file Size Date Description
0000000P.zip 1K 01/07/2010 This upgrade tidies up a series of lists, updates the leeches list to preferred status and ensures that previously excluded lists (including BRC checklists) are now included in the report wizard.
0000000O.zip 340K 01/07/2010 Adds the following list: Fungi from GBCHKLST not in BMS List. Also  updates the List of Additional Names.

Upgrade file Size Date Description
0000000N.zip 0.6M 16/12/2009 This is an exact copy of 0000000M.zip which fails to run when placed together with 0000000K and 000000L (despite the settings table indicated that it has). Running this script will correct the settings table and update the habitats dictionary. If you have already run 0000000M successfully you must still run this upgrade to keep your settings table correct (it simply will find nothing to update in the dictionary which is fine). Updates the Habitat Dictionary. Updates three lists (Marine Nature Conservation Review Classification, EUNIS Habitat Classification, Biodiversity Action Plan Key (Priority) Habitats) and adds three lists (Integrated Habitat System, Vegetation communities of British lakes: a revised classification, OSPAR threatened and/or declining habitats). Nb: Outer zip includes an .ini file which provides a progress bar.
